Calgary Holiday Show: Floor Plan, Load-in Procedure, and Venue Information
Load-in and Set-up Procedures
Check in is from 12:00 PM to 6:00 PM. Because we have a large number of Makies, we stagger the load in process so it’s smoother. You will be assigned a load-in time based on your booth number (check back closer to the show date for the load-in schedule). The designated times are for load-in only; you can take as long as you like to set up your booth, as long as you’re done by 8:00 PM. If you can’t come during your designated time slot, please let us know. There will be no set up time on Thursday morning, so make sure you complete everything on Wednesday.
The load-in schedule will be released with the floor plan closer to the show.
For the safety reasons children under the age of 15 are not permitted in the hall during set up or tear down. This includes babies in strollers or carriers. If you are travelling from out of town and have your kids with you, please make sure you arrange childcare in advance. There is a small room off the lobby that the venue is allowing us to use during load in and tear down for Makies who absolutely must bring children along; please make sure an adult is available to stay with them. Do not leave children unattended.
When you arrive to set up on Wednesday, November 1st, enter the grounds through the south entrance on Stampede Trail (and not the exhibitor entrances, which lead to a different part of the grounds). Park in Lot 6, and make your way to the exhibitor entrance of Hall A of the Big Four. Check in with Brigitte or Jenna; we'll give you directions to your booth and a rad Makie exhibitor badge, plus a couple of extra badges for staffers if you need them. Go back outside and unload your vehicle -unfortunately, there is an event happening in the adjoining hall on November 1st, so Makies won't be able to drive into the building this time. Once your vehicle is unloaded, please move it to a spot in the same lot a little further away from the building -with more than 160 Makies loading in, we'd like to keep the spaces closest to the building free for everyone.
We will have a number of dollies available to help you unload your vehicle, but if you have a dolly of your own we recommend you bring it to speed up the process.
Accessing the Venue
Please use the exhibitor entrance to access the venue before or after show hours. You will need to present your Makie button to the security guard in order to enter the venue; if you lose your button, please obtain a new one from Jenna or Brigitte. Please do not pressure the venue to admit you without your Makie credentials -their job is to keep unauthorized people (ie anyone without a button) out of the building in order to keep all of us (and everyone's products!) safe.
You may access the hall one hour before the show opens each day, and come in and out for one hour after the show closes. If you need to access the hall outside of those hours, please let us know before 8:00 p.m. on November 1st so that we can make the proper arrangements with the security team.
You can pick up extra Makie badges for your staffers when you check in on Wednesday. Your staff can access the venue with their Makie badges through the exhibitor entrance one hour before and after the show each day, or through the regular show entrance during show hours.
The exhibitor lounge is a draped off area at the back of the show; it has tables and chairs for you to use to take a break to eat or answer emails. There is a microwave, but no fridge.
Download a copy of the floor plan here.
Please do not share this copy of the floor plan on social media; a more appropriate version will be posted in the "Promote the Show" section of the exhibitor guide for that purpose.

NEW THIS YEAR: National Makie Day
Because we're so grateful for the incredible support the Makie community has shown us (and each other!), we've created a special day to celebrate YOU! We'll be kicking off the 2017 holiday season with the inaugural National Makie Day on Thursday, September 7th, 2017, and we hope you can join us :)
Here's how you can participate in our National Makie Day celebration:
1. Post this 'I'm a Proud Makie' graphic (below) on Instagram and Facebook with the hashtags #nationalmakieday #proudmakie. This is a great way for us to kick off the holiday season and start building the hype for the shows!
2. Invite your facebook friends to the Holiday Facebook Events, which will launch on September 7.
3. If you're in Vancouver, come to our Makie party at Conscious Lab to celebrate! Mix and mingle with us and your fellow Makies before the crazy season begins, enjoy some light refreshments and cocktails, and maybe score a door prize! We're very sorry if you aren't in Vancouver and can't attend -next year, we will have Makie parties in BC and Alberta, so that everyone can be part of the fun! If you will be in Vancouver and can come join the fun on Thursday, September 7th at 7:00 PM, please RSVP HERE. You're welcome to bring a plus one too :)
The key maximum promotional power is that we all post and invite on September 7th.
Help Your People Find You
A map suitable for social media sharing will be posted closer to the show.
Flyers will be available at several locations (see below) for you to hand out to your friends, family, and customers; please also share the electronic one above on your social media feeds. Both versions are good for $2 off entry!
NEW THIS YEAR: As a special bonus, you can also pick up six paper tickets to use for social media promotion or for your family and friends!
If you're unable to pick up flyers but have places to distribute them, please let us know and we will mail you some.
Calgary flyer pick-up locations:
Alberta Craft Council, cSPACE King Edward,#280 - 1721 29 Avenue SW
Greater Goods, #8 - 606 Meredith Road NE

Calgary Holiday Show: Parking During the Show
Exhibitor parking passes will be available for pre-order online until two weeks before the show at exhibitor.calgarystampede.com or through the Stampede's exhibitor order package (PDF here). Exhibitor parking is $13.33/day. Parking is not free on load-in day.
If you miss the deadline to pre-order your pass, you will be able to purchase a multi-entry pass at the gate at the normal rate of $15/day.
Calgary Holiday Show: Safety and Security
During the event, organizers will be on-site to assist with directing the crowd and maintaining security. Please let them know if you notice any attendees or participants acting in ways that could be dangerous or damaging to equipment or the venue, or if you notice any safety hazards.
The Big Four is extremely secure, however Make It is not responsible for the security of items and equipment at your booth. We recommend taking electronic equipment and cash with you when you leave each night.
Big Four staff wear name tags/uniforms identifying them as such, and our equipment supplier's personnel all wear staff t-shirts that identify them. A possible scam could be for someone to pretend to be part of the venue staff in order to gain access to the area behind exhibitor booths (or other exhibitor areas), where exhibitors often stash laptops, bags, and other personal items. Please don't allow anybody without the proper identification into the back area of your booth.
Whether you (or your staff) are entering the show during the exhibitor entrance before or after show hours or through the front entrance during show hours, you will need to present your Makie button to the security guard in order to enter the venue. If you lose your button, please obtain a new one from Jenna or Brigitte. Please do not pressure the venue to admit you without your Makie credentials -their job is to keep unauthorized people (ie anyone without a button) out of the building in order to keep all of us (and everyone's products!) safe.
Calgary Holiday Show: Food Vendors
There is no catering kitchen at the Big Four for prepping samples or cleaning dishes and utensils.
Makies serving/sampling any food or drink at all are required to set up a temporary handwash station in their booth. It's a cheap and easy thing to do, and we look at it as an indicator of how seriously we all take the health and well-being of show attendees. Preference will be given to Makies who have demonstrated a similar commitment to public safety when we jury applications to future shows.
Here are the AHS guidelines for setting up a temporary handwashing station:
The Environmental Health Officer needs to inspect our food vendor booths at the start of the show. Therefore food vendors must be at their booths at 10:00 a.m. on Thursday to be present for inspection.
If you need 24 hour power, you may purchase some directly from the show's electrical supplier (link coming soon).
AHS Special Event Vendor Notification Forms:
A copy of the SEVN form with the show information already filled is available here. If you intend to offer samples, please email your completed form the firstname.lastname@example.org before September 15th, 2017. If you're not going to offer samples, you don't need to submit the form.
Please submit this form and your Certificate of Insurance to email@example.com before September 15th, 2017.
Calgary Holiday Show: Shipping and Accommodations
BIG FOUR SHIPPING ADDRESS:
Make It! The Handmade Revolution, November 2-5
Makie business name, booth #
Big Four Building, Hall A
1801 Big Four Trail SE
Calgary, Alberta T2G 2W1
Your items must be shipped out after the show wraps on Sunday night. Materials handling and forklifting will be provided by Make It. If you are not using our official carrier, please confirm with your shipping company that they will be picking up your pallet on Sunday night, as the venue will not store it for you.
Make It's official carrier is Multi-Temp Freight Solutions. They offer temperature-controlled trailers, online shipment tracking, warehousing, and cargo insurance for high value shipments, among other options.
To ship with Multi-Temp Freight, please contact Jeremy Potter at firstname.lastname@example.org or 604-888-8182, extension 102. For the fastest quote, send Jeremy an email with:
- The address you're shipping from, and whether it's a commercial business, residence, or trade show.
- Whether a power tailgate is required for the pick up (unless you are shipping from a commercial venue with a loading dock, it is).
- Which Make It (Calgary, Edmonton, or Vancouver) you are shipping to.
- Whether you need to ship out of the venue after the show, and if so, whether you are shipping back to the address of origin or to another show.
- The dimensions (height x width x depth) and estimated weight of your pallet.
You are welcome to use any carrier you like to ship your goods to the show. If you opt to use a different carrier, please ensure that you let them know the following:
- You are shipping for a trade show.
- Delivery time must be before noon on November 1st.
- Pick up must be on Sunday night November 5th.
- There is no dock available at the venue; a truck with a tailgate lift is required.
Some Makies prefer to ship their goods via Greyhound, and then rent a vehicle once they arrive in town and pick their items up themselves from Greyhound. It's less convenient than shipping directly to the show, but often more affordable.
Once you have unpacked your pallet, you may store it in the area marked "pallet storage" on the floor plan in the exhibitor guide. Please write your name on your pallet so that everyone knows who it belongs to make sure it is still there for you on Sunday when you need it.

Calgary Holiday Show: Booth Design and Show Survival Guide
About your booth:
Booths include 8’ high white back-and-side pipe-and-drapes; s-hooks will be provided so that you can hang signage if required. Please do not hang anything other than signage (up to 3 lbs.) from the pipe; you are expected to bring self-supported structures to display your goods.
Floor covering is not required, but you can bring something if you want to, or rent carpet from the show equipment supplier. Your booth comes equipped with one chair; if you're going to need more than that, please bring your own.
Booth sizes are given width x depth; if your booth is 10' x 6', then it's 10 feet left-to-right and 6' front-to-back.
NEW THIS YEAR: One 1500 watt outlet is provided with your booth. Power is turned off after the show ends for the day; if you are a food Makie with a freezer or fridge and need 24 hour power, please purchase additional power from the show supplier (link coming soon).
Everything you're selling and all of your display fixtures must fit within the footprint of your booth; nothing may protrude into the aisle or your neighbour's booth. If you're not sure about your set-up, a helpful trick is to mark out your booth size on your floor at home (masking or painter's tape works well) and set up your display to make sure it fits. Snap a quick pic with your phone to make duplicating your set-up a breeze!
Please bring a table covering because the rental tables are fugly! Also, it is a good idea to bring a cover for your table at night.
Some Makies hang additional drapes from the pipe to provide a different colour backdrop for their display; this is permitted but please use FR-treated panels only. The Calgary Fire Department will conduct a burn test on your drapes in their pre-show inspection. Also, the CFD does not permit burlap to be used as booth materials. Please make sure that you are not using any burlap as a backdrop, table covering, or for any other purpose.
Table and Equipment Rentals:
Tables and other equipment (crossbeams, gridwall, etc.) are available for rent from the show equipment supplier; you can download a PDF of the order package here, or you can use their handy online ordering system. To order equipment online, go to www.goodkey.com and click “order online” from the menu near the top of the page. If you don't already have a Goodkey user account, click the "click here to register" option. When prompted for your show code, enter MI11020517. Fill in your company name, and your booth number if you know it. If you haven't yet been assigned a booth number, enter "TBD" in that field.
*Please note: After you complete your registration, your username will be your e‐mail address, and the pre‐selected password is “blue”. Please reset the default password the first time you log in.*
Once your registration is complete, you will be redirected to a show info page. To access the equipment rental portion of the site, click "main" at the top of the page.
You can use your own data plan for processing payments, or purchase wifi from the Stampede for $75/day or $191.25 for three days (link coming soon). Since most Makies only need internet access for processing payments over the course of the day, it might be more fiscally prudent to bump up your own data plan or to simply pay your provider's overcharge amount to cover additional data.
Some mobile payment systems are able to be used in an offline mode, and then they sync to your online system when data is available again. Many Makies find this a better alternative to spending $75 a day for venue wifi, but be aware that this means a customer's card may be declined long after they've gone home, which may end up being more expensive than the wifi charge, depending on the purchase.
What to bring:
- Plan to bring ALL ESSENTIAL EQUIPMENT for yourself and your exhibit. We do not provide extension cords or power bars.
- A water bottle and/or travel mug.
- A really good float! Please don’t expect the Stampede to make change for you.
- Dress comfortably! Temperature fluctuations in any large venue are not uncommon as the space fills up with people, so dress in layers.
- Wear comfortable shoes, as you may be standing for long periods of time.
- Other things that might make life easier: snacks, lip balm, Advil/Tylenol, etc.
Starting the day:
We are strict about showing up on time in the morning. You will be able to access your booth one hour before the doors open to the public each day. Make sure you arrive at the fifteen minutes before the show each day; your booth should be uncovered, lit, and ready to go at least 10 minutes before show time. Scrambling to your booth like a hot mess right as the doors open is not a good look for you or for us, so don’t do it!
Ending the day:
You're required to keep your booth open until the end of the show each day. We know it's tempting on the last day of the show to start packing up early as things begin to slow down, but resist the urge to get a head start on your tear down! It only takes one vendor who begins packing things away to send customers the message that it's time for them to go home. This is detrimental to everyone, especially Makies with large pieces who often make the bulk of their sales at the end of the show when shoppers return to purchase an item they've been thinking about.
Makies who leave the show before closing or who begin packing up before tear-down will not be invited to participate in any more Make It shows.
The Stampede will run a small concession in our bar/rest area, and there will be a couple of food trucks to order from. We always recommend making sure you have a good stash of your favourite snacks at your booth to get you through the show -it's hard to focus on your customers when all you can think about is how long it might be until you have a minute for lunch!
About the venue:
- Please don’t damage or modify the walls, floor, or grounds.
- Exhibits must not obstruct exits, aisles, or fire lanes, or interfere with access to safety equipment.
- Cords and cables must be kept neat and out of public walkways.
- Leave no trace! When packing up, clean your booth area completely, and leave nothing behind. We will have garbage and recycling containers available.
